Terms and Conditions of Let Agreement 2019/20
Your booking should be for holiday purposes only unless otherwise agreed in writing. These properties must not be used for party purposes, weddings or filming without prior written agreement or email confirmation of same is acceptable. A Facility Fee may be payable for a function or party where the numbers using the property exceed the capacity the house can sleep i.e 8 whole house. Your contract is between you and the Owner of the property and is subject to the following conditions. The properties are as described on our web site www.ivycottageknoydart.co.uk The accommodation is of a high standard and will be returned in the same condition.
YOUR HOLIDAY HOUSE
- You can arrive at your accommodation approx 15.00 hrs on the start date of your holiday and you must have vacated the property by 10.30 hrs on your final day unless agreed otherwise by both parties.
- You agree to keep the house clean and tidy and to leave it in a similar condition of cleanliness to when you arrived. Any additional cleaning of the property, following your departure, beyond the normal amount reasonably required, may be charged for. If you have not stayed with us before, a fully refundable good housekeeping/breakage deposit of £200 will be requested 2 weeks before your stay and refunded within 2 working days if no additional cleaning or repairs.
- The numbers in your party must never exceed the stated house capacity 8 for whole house, without express written prior consent.
Methods of payment
BACS TRANSFER ONLINE
We accept BACS transfer payments on request, please ref your payment as directed by the owner so that we can cross reference your payment for you, for example “Donald 11/12/19” e.g name and date of arrival. We would ask that you email us once your BACS transaction has been instructed by you, so that we can check for its deposit arriving with our account and email confirmation of this, and amend your booking form.
Ivy Cottage is not VAT registered
The heating is by kerosene and provided in your rental. There is also a large woodburning stove in the living room, wood/log charge will apply after the 1st initial supply at £10 per box (Honesty box under Telephone)
We provide all toilet rolls and rubbish sacks here at Ivy Cottage as well as environmentally friendly washing up liquid, surface spray and standard cleaning materials and implements. We have a dishwasher and we supply a starter pack of dishwasher tablets, tin foil, cling film and kitchen rolls are also supplied.
Wifi is an open network complimentary for all guests use.
To respect the wishes of both smokers and non-smokers, please do not abuse the no smoking regulations at the cottage. Ivy Cottage is specifically non-smoking. The Owner will make a charge from the good housekeeping deposit if the no smoking policy is breached to cover the cost of soft furnishing and carpet cleaning
Ivy Cottage has a laundry room for the sole use of our guests. This is situated outside the back door. There is a good sized washing machine and a industrial dryer (Please note that the two appliances can not be used at the same time due to overload on electrical circuit) There is also a iron, ironing board and clothes airer.
Please report any breakages, defects or damage during your stay direct to owner at the time they occur on 07836 385778 so that they can be rectified at the time and before the next guests arrive. All damages and losses will be paid for in full. Cups get dropped and the unexpected can happen, accidental damage happens to everyone but it is easier to let us know and we can rectify this quickly and hassle free.
Well behaved dogs are welcome, however please note conditions to be strictly adhered to, that is all pets must not be allowed either upstairs, in bedrooms or on soft furnishings, must not be left unattended in the property and must sleep on bedding. (Please remember to bring this with you, or we can provide if requested). A pet surcharge is applicable £30 per pet per week or part thereof, maximum number of 2 large dogs or 3 small, thank you). All dog faeces must be completely removed from the garden and immediate surrounding area. Please bring pooh bags with you. Any damage or mess caused by pets will be made good and paid for out of the good housekeeping deposit. There are wild deer, farm sheep, hens and geese on Knoydart and you are kindly asked to keep your dogs on a lead when in the village and in and around Ivy Cottage. Please read through our pet policy. You must be 21 years or over when you book the accommodation.
The Owner has the right to refuse any booking prior to the issuing of any confirmation in writing. When you receive your confirmation you must check all the details carefully for accuracy and contact the Owner immediately if you find any discrepancy.
Rentals and charges
In order to secure a booking you need to make a deposit payment of 25% of the full rental price. Details of how to pay are listed as follows. On receipt of your deposit the Owner will confirm your booking by email within 3 working days and acknowledge receipt of your deposit. The balance is due 2 calendar months before date of arrival. e.g if your booking is for 4th December, 2 calendar months would be 4th October. You are then responsible for the balance of the rental, which is due no later than 2 calendar months prior to your arrival. If booking a cancellation week with less than 2 calendar months but more than 1 calendar month due until arrival the deposit is 50% of the weeks rental with the balance due 1 calendar month prior to rental. If the week is booked 1 calendar month or less until the rental commences the full rental is payable upon booking and is non refundable in the event of cancellation.
If the balance is not received at 2 calendar months prior to arrival of the dates provisionally booked by you it will automatically become available for re-let e.g if rental commences 1st April, balance due 1st Feb (i.e. 2 clear calendar months) and the deposit will be forfeited in full. Deposits are strictly non refundable.
Ivy Cottage rates are as advertised on our website and are for regular weekly family bookings or special offer weekends subject to availability.
Cancellation – Please ensure you are protected by your own insurance provider from the time of making your booking.
If you have to cancel your reservation you must telephone the Owner on this number Maggie Gordon 07836 385778 and you must also confirm your cancellation in writing, email is acceptable so long as it has been confirmed back by the owner to you. The day on which the Owner receives the telephone cancellation / confirms receipt of your email cancellation is the day on which your reservation is cancelled. This applies to cancellation through ill health, death, inability to travel due to weather disruptions or close family health matters that may be a reason for being unable to take up your holiday with us.
Please note that should you cancel your booking prior to the balance due date your deposit is forfeited in full. Should you cancel your booking after the balance has been paid in full, only at your request we will re-advertise your dates having the sole discretion of offering dates out a reduced rate to assist rebooking and every effort will be made to relet your rental. In the event of successful reletting of your dates you will receive 50% of the rental income gained from the re-advertised relet fee only. We suggest you ensure that your holiday insurance covers you in the event of any cancellation.
Repairs to property
Occasionally in rental properties damage due to possible wear and tear, an item of equipment may for some reason not be working (in the unlikely event of this) we would do our utmost to repair it as quickly as possible and we are here to ensure your holiday runs as smoothly and enjoyable as possible. Due to the remoteness of Knoydart, sometimes things may take a little bit longer than on the mainland but your enjoyment and comfort are our priority at all times.
To improve the facilities the owners reserve the right to alter or amend the facilities made available at the cottage at anytime which may include during your stay, however your privacy and enjoyment remain our main aim at all times.
Restriction on rental
We reserve the right to remove a person or persons from the property due to unreasonable behaviour, damage to the property or who exceeds the stated occupancy (unless said occupany has been agreed by both parties owner and customer direct, and in advance of the let). In this case a refund of rental rate is at the entire discretion of the owner.
The Owner hopes that you will not have any cause for complaint but in the event of a problem arising, you must in the first instance contact the Owner immediately so that any problem may be speedily resolved, as the Owner must be given the opportunity to rectify the problem email in the first instance email@example.com or alternatively 07836 385778. Some problems are very easily rectified if notified.
Right of Entry
The owner of the property reserves the right to enter the property at an agreed time with the hirer to carry out any repairs or maintenance. The owner reserves the right to ask guests to vacate the property if their behaviour is deemed to be unreasonable or damage is caused to the property.
The Owner will have no liability for death, personal injury, or loss of, or damage to, personal property including motor vehicles. In the absence of any negligence or other breach of duty by The Owner, the use by Tenants of any house or its facilities is entirely at their own risk.
Adverse Travel Conditions
In the event of ferry/plane disruptions due to bad weather conditions or any form of industrial action we cannot be held responsible for non-arrival at Ivy Cottage and strictly no refunds will be given. We would recommend all guests to have normal travel insurance in place at time of booking.
Cancellation by us
Each booking is made in good faith in the belief that the house will be available to the client on the date stated on the booking form. If for any reason due to circumstances out-with our control the house is not available we are unable to guarantee provision of alternative accommodation however a full refund of your original rental fee paid to us would be made. For the avoidance of doubt adverse weather conditions which may prevent travel for any reason, fog, delayed flights, ferry disruption, road closures are not deemed a circumstance outwith our control for this clause which would give rise to a refund. Normal holiday insurance is recommended at the time of booking as we cannot be held responsible for weather interruption to your travel arrangements. Thank you.
The contract between you and the Owner is subject to Scots Law and is formed in Ivy Cottage, Inverie, Knoydart, By Mallaig, PH41 4PL
